Friday visit

Request

Is there a consultation slot on Friday afternoon?

Desk checks availability

Let me check the schedule and confirm a time for you.

Confirmed

Your visit is confirmed for Friday at 4:30 pm. Reply here if you need to change it.

Reminder

Your appointment is tomorrow at 4:30 pm. We look forward to seeing you.

A slot is only confirmed after your desk or scheduling system verifies availability.

A practical patient journey

The updates your team already sends, in the order patients need them

Follow one visit from the first enquiry to the final update. Each message starts with a confirmed event in your booking, billing or lab workflow.

  1. Step 01

    Booking request

A patient asks for a time

Reception sees the request in the shared inbox, checks the actual schedule and offers a slot. If a supported scheduling connection is in place, the request can enter that workflow too.

    Example message

“Is there a consultation slot on Friday afternoon?”

  2. Step 02

    Confirmation

The slot is confirmed, with the useful details

Once your team or scheduling system confirms the booking, send the date, time, location and a simple way to ask for a change. Only a verified slot becomes a confirmation.

    Example message

“Your appointment is confirmed for Friday at 4:30 pm at our City Road clinic. Reply here to reschedule.”

  3. Step 03

    Before the visit

A reminder answers the next question

Send a timely reminder to patients who agreed to receive updates. Add approved arrival or preparation instructions, and route reschedule replies back to the desk.

    Example message

“Reminder: your appointment is tomorrow at 4:30 pm. Please arrive 10 minutes early.”

  4. Step 04

    After the visit

Billing updates do not get lost

When billing is complete, send a bill PDF or secure invoice link if your policy and billing workflow allow it. Keep full payment-card and account details out of the conversation.

    Example message

“Hi, your invoice is attached as a PDF. Please reply here if you have any questions.”

  5. Step 05

    Report-ready notice

Notify, then let patients view securely

A diagnostic centre can tell a patient their report is ready after the lab releases it. Keep results and medical interpretation in your verified portal or clinician-led process.

    Example message

“Your report is ready. Sign in to the secure patient portal to view it, or contact the lab for help.”

Designed around your desk

Three care settings. Different daily pressures.

A clinic, hospital and diagnostic centre share the need for timely updates, but the handoffs are different. Start with the moments your staff repeat most often.

For clinics

Keep the consultation calendar clear for patients and reception.

  • Turn website and WhatsApp enquiries into requests your desk can confirm.
  • Send appointment details and reminders after a slot is booked.
  • Handle cancellations, reschedules and follow-up visit questions in one thread.

For hospitals

Coordinate administrative updates across a busier patient journey.

  • Share OPD appointment time, department and check-in location.
  • Tell patients about schedule changes and let staff handle replies.
  • Send billing or discharge paperwork availability notices through the right team.

For diagnostic centres

Make test visits and report collection easier to follow.

  • Confirm a lab visit or home sample collection window.
  • Send lab-approved preparation instructions before the appointment.
  • Notify patients when a released report is ready for secure access.

A template for your front desk

A clear appointment confirmation patients can refer back to.

Once a slot is booked, patients need the essential details in one place. This starter message works for a clinic visit, hospital consultation or diagnostic appointment.

When to use it

Send only after reception or your scheduling system verifies the appointment. Include the correct location and let a staff member handle questions or rescheduling replies.

Replace the bracketed patient, organisation, date, time and location fields with your details. For business-initiated WhatsApp messages, use the appropriate recipient opt-in and Meta-approved template.

A sensible first rollout

  1. 1

    Choose one event

For example, an appointment confirmed by reception.

  2. 2

    Write the message

Include the time, place and a clear way to contact staff. Keep clinical details out.

  3. 3

    Decide the trigger

Send from a staff-managed list or a supported integration, after checking the source data.

  4. 4

    Plan the reply

Reschedules, accessibility needs and care questions go to a person.

Trust in every handoff

A message should reassure the patient without exposing their care.

Questions teams ask

Practical answers before you plan a rollout

Can patients book an appointment directly through WhatsApp?

Patients can request an appointment in WhatsApp. A confirmed booking needs an available slot from your team or a supported scheduling integration. We can map the confirmation and rescheduling steps around the system you use today.

Can WapNexus send appointment confirmations and reminders?

Yes. WapNexus supports approved WhatsApp message templates and targeted sending. The appointment date and time must come from your verified booking records or staff. Automated triggers depend on the available integration and your chosen setup.

Can we send invoices and lab reports on WhatsApp?

Bills can be sent as a supported document message or secure portal link when your billing workflow and privacy policy allow it. For lab reports, a report-ready notice with verified portal access is the safer default. Review patient consent, access controls and Meta policies before sending any sensitive document, and keep clinical interpretation in your approved care process.

Will this connect to our hospital, lab or appointment software?

WapNexus offers template messaging APIs and supports external integrations. The exact connection depends on the data, endpoints, events and plan access in your current software. Bring your workflow to a demo so the team can confirm what is supported.

What happens when a patient replies or needs urgent help?

Replies can be handled by staff in WapNexus Live Chat. Set a clear handoff for questions that need a person. WhatsApp messages should not be used as an emergency response channel or to replace a clinician’s judgement.

Do patients need to agree to receive these messages?

Yes. Collect the appropriate WhatsApp opt-in and honour opt-outs. Business-initiated messages generally require Meta-approved templates, and your organisation remains responsible for privacy notices and applicable healthcare rules.
